8 questions to ask before you hire an AI receptionist
Not every AI phone agent is built the same. Use these eight questions to compare options and find one that actually books work for your business.
AI receptionists have gone from novelty to normal fast, and there are a lot of options. Some are little more than a smarter voicemail. Others can run your front desk. Before you sign up for anything, ask these eight questions.
1. Can I hear it take a real call first?
A polished recording proves very little. Ask for a live line you can call yourself, and try to trip it up: interrupt it, change your mind, ask something off-script. How it handles a messy call tells you more than any sales page.
2. Does it actually book, or just take messages?
Taking a message still leaves you calling people back. Ask whether the agent can see your availability, book the appointment while the caller is on the line, and confirm it by text.
3. What happens when a caller needs a human?
There will always be calls that need you. Find out whether the agent can transfer live, take a detailed message and text it to you right away, or book a callback, and whether you can choose which happens for each kind of call.
4. Is it built for my industry?
A med spa, a law firm and an HVAC company ask very different questions on the first call. Ask whether the agent will be set up around your services, your qualifying questions and your rules, or whether you’re getting one generic script.
5. Where does my data go?
Every call carries customer details. Ask whether the information goes into the tools you already use, like your CRM and calendar, and read the provider’s privacy policy to see how call data is stored and used.
6. How long does setup take, and who does it?
Some products hand you a dashboard and wish you luck. Others build and tune the agent with you. Ask how long until it’s answering real calls, and who adjusts it when something needs to change.
7. Will callers know it’s an AI?
Decide how you want this handled. Many businesses have the agent introduce itself as their virtual assistant, which keeps things honest and still sounds natural. Make sure the provider lets you choose, and check whether your industry or location has rules about disclosing automated or recorded calls.
8. How is it priced?
Pricing models vary: setup fees, monthly plans, per-minute charges. Ask what’s included, what happens if your call volume spikes, and whether you’re locked into a long contract.
